1. Who is responsible for your data

BulkHDDHub is the trading name of Guangzhou QingYan Technology Co., Ltd. (广州青炎科技有限公司), a limited liability company registered in Guangzhou, China under Unified Social Credit Code 91440106MAK69C4Q9T, with its registered address at Room 302B1057, Building 1, No. 5 Changxing Road, Tianhe District, Guangzhou, Guangdong 510000, China.

For the purposes of the EU and UK General Data Protection Regulation, we are the data controller for personal data collected through this website. You can reach us at sales@bulkhddhub.com.

2. What we collect

Information you give us. When you submit an enquiry form, email us or message us on WhatsApp, we receive the details you provide: name, company name, business email, phone or WhatsApp number, country, the product and quantity you are interested in, and the content of your message.

Information collected automatically. Our web server logs the IP address, browser user-agent, the page requested and the time of the request. This is standard server logging used for security and abuse prevention.

We do not ask for and do not want special-category data (health, religion, political opinions, biometric data). Please do not send it to us.

3. Why we use it, and our legal basis

To answer your enquiry and quote — legal basis: steps taken at your request before entering a contract (GDPR Art. 6(1)(b)).
To perform an order — invoicing, shipping, customs documentation, warranty administration — legal basis: performance of a contract (Art. 6(1)(b)) and compliance with legal obligations such as tax and accounting records (Art. 6(1)(c)).
To keep the website working and prevent spam — rate-limiting, abuse detection, server logs — legal basis: our legitimate interest in a secure service (Art. 6(1)(f)).
To send you occasional product updates — only where you have asked for them or where applicable law permits business-to-business contact, and you can opt out at any time — legal basis: consent (Art. 6(1)(a)) or legitimate interest, as applicable.

We do not use your data for automated decision-making or profiling, and we do not sell it.

4. Cookies

This site uses the minimum needed to work. We do not run advertising networks.

Strictly necessary — a local storage entry remembers your product-filter choices and your cookie preference. No consent is required for these.
No analytics or marketing cookies are set by default. If that changes, this page will be updated and consent requested first.

You can clear or block cookies in your browser settings. Blocking the strictly necessary ones may break the catalogue filters.

5. Who we share it with

We share only what is needed, and only with:

our hosting and email providers, who store the website and our mailbox;
freight forwarders and carriers, to ship your order and clear customs (name, address, phone, commercial invoice data);
our bank, to receive payment and, where required, verify the payer;
professional advisers and authorities, where we are legally required to disclose.

We do not sell, rent or trade personal data. We do not share your enquiry with other suppliers.

6. Where your data is stored

Our website and mailbox are operated from the People's Republic of China, and our service providers may process data in other jurisdictions. Where personal data of individuals in the EU or UK is transferred outside those territories, we rely on appropriate safeguards permitted by the GDPR, including standard contractual clauses with our providers.

If you need details of the safeguard used for a specific transfer, ask us and we will provide them.

7. How long we keep it

Enquiries that do not become orders — up to 24 months, then deleted.
Order, invoice and shipping records — retained for the period required by Chinese accounting and tax law (currently 10 years for accounting vouchers and 5 years for invoices), and for the warranty period.
Server logs — up to 90 days.
Warranty claims — for the warranty period plus 12 months after the claim closes.

8. Your rights

If you are in the EU or UK, or a jurisdiction with comparable law, you have the right to:

be informed about how your data is used;
access a copy of the personal data we hold about you;
have inaccurate data corrected;
have your data erased where there is no overriding legal obligation to keep it;
restrict or object to processing based on legitimate interest;
receive your data in a portable machine-readable format;
withdraw consent at any time, without affecting processing already carried out;
lodge a complaint with your local supervisory authority.

Write to sales@bulkhddhub.com and we will respond within 30 days. We may ask for proof of identity to prevent someone else obtaining your data.

9. Security

The site is served over HTTPS. Access to enquiry data is limited to the staff who need it to quote and ship, and our mailbox requires authentication. Enquiry backups are kept on access-controlled storage.

No system is perfectly secure. If a breach affects your personal data and creates a risk to your rights, we will notify the competent authority and, where required, you.

10. Children

This is a business-to-business website selling wholesale storage hardware. It is not directed at children, and we do not knowingly collect data from anyone under 16. If you believe a child has submitted data, contact us and we will delete it.

11. Links to other sites

Our blog may link to external sources. We are not responsible for the privacy practices of those sites; read their policies before submitting data to them.

12. Changes to this policy

If we change how we handle personal data, we update this page and change the date at the top. Material changes affecting existing customers will be communicated by email where we hold an address.
